We are committed to protecting and respecting your privacy and this Policy (together with our Terms of Use, Cookie Policy, Acceptable Use Policy and any other documents referred to on it) explains how we collect, use and disclose personal data through our Website (accessible at https://www.utchub.com) and our Platform (meaning the part of the Website at https://hub.utchub.com, which is accessible only with an account).

The data we collect

We collect different data depending on what type of user you are. Please read the sections that apply to you below for information about what data we collect, how we collect it, how we use it and why it is necessary.

All users

When you visit our website or use our platform we may collect technical information, including the Internet Protocol (IP) address used to connect your computer to the internet, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.

We also collect information about your visit, including the pages that you visit, the date and time, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page.

We use this data to optimise your visit to the website, help us identify any problems and analyse how we can improve your experience in the future. This information is collected through cookies and third party services, such as Google Analytics.

Students

As a student, you must provide the following information to use UTC Hub:

  • Personal data, including email address, gender, date of birth, year group, expected leaving year group

You may provide us with:

  • Your interests and skills. This information is visible to all staff members at your school to help them give you better and more targeted careers advice. It is also sometimes made available to employers to help them understand how well suited you might be to their organisation and opportunities.
  • Application details when you apply to opportunities – these are visible to school staff and also the employer that posted the opportunity. When you apply to opportunities, your application is made visible to all staff members at your school so that they can help you with your application. It is also made visible to the employer that you are applying to so that they can review it.
  • Achieved qualifications and subjects that you currently study. This is visible by all staff members. It is also visible by employers that you have applied to opportunities with to help them judge whether you are well suited to the position or work experience.
  • Sensitive personal information, including ethnicity, disability, free school meal recipient status, if your parents went to university, if your parents are in the Armed Forces, if you are a carer or care leaver, and if you have completed the Duke of Edinburgh or Duke of York awards. This information is visible to all staff members at your school to help them understand where different groups of students go when they leave school and help them set targets to assist underperforming groups. In addition, the data might be aggregated and anonymised and provided to the multi academy trust or charity that runs your school to help them understand how their schools are performing. This aggregated and anonymised data is also used to help employers understand how they are viewed by different groups of students and adapt their profile to appeal to these groups. We never show your sensitive personal information to employers.
  • Destination data including destination type, level, salary, company/university and role/course. This information is visible to all staff members at your school to help them understand where different groups of students go when they leave school and meet their obligations with providing data to Ofsted and the Government. This data might also be aggregated and anonymised and provided to the multi academy trust or charity that runs your school to help them understand how their schools are performing and how they can help current students prepare for leaving school better.

The entering of all sensitive data is optional and you can always select the “don’t want to say” option without any adverse effects on your experience of using the platform.

We also automatically collect:

  • Interests and usage data, including which opportunities, companies and careers you have viewed and liked. Interests and usage data is used to personalise the suggested careers and opportunities that you see. This information is also visible to all staff at your school to help them give you personalised careers advice.

Data might also be provided by your school. This could include:

  • Your name, email address, year group
  • Your destination data including destination type, level, salary, company/university and role/course

This information is used by your school to identify you on the platform and provide context for any destination data that they add to your profile.

School and college staff

As a school or college staff member, you must provide the following information to use UTC Hub:

  • Personal data, including email address, name and job title

You may provide us with:

  • Personal information about students, including name, email address, year group, expected leaving year group, gender, Unique Learner Number and destination data; including destination type, level, salary, company/university and role/course. This information will be visible to all staff at your school. Destination data is visible to all staff members at your school to help them understand where different groups of students go when they leave and meet the school’s obligations with providing data to Ofsted and the Government. This data might also be aggregated and anonymised and provided to your multi academy trust or controlling charity to help them understand how their member schools are performing and how they can help current students prepare for leaving school better.

Data might also be provided by your school. This could include:

  • Personal data, including email address, name and job title. This information is used by your school to identify you on the platform.

Alumni

As an alumnus, you must provide the following information to use UTC Hub:

  • Personal data, including email address, gender, date of birth, the year that you left your school, the year group that you left in, and information about what you currently do, for example details about your employment or further education. This information will be visible to all members of staff at your school to provide them with a support network for current students.

You may provide us with:

  • Sensitive personal information, including ethnicity and disability status. This information is visible to all staff members at your school to help them understand where different groups of students go when they leave school and help them set targets to assist underperforming groups. In addition, the data might be aggregated and anonymised and provided to the multi academy trust or charity that runs your school to help them understand how their schools are performing. This aggregated and anonymised data is also used to help employers understand how they are viewed by different groups of alumni and adapt their profile to appeal to these groups. We never show your sensitive personal information to employers.
  • A link to your LinkedIn account and an “About Me” section.
  • Details of any help you are happy to offer your school, for example work experience, mentoring, attending careers fairs and giving a careers talk.
  • Your interests and skills. This information is visible to all staff members at your school.

If you previously used UTC Hub as a student we will retain all data related to your student account when you are converted to an alumnus. This is in case your school needs to convert you back to a student and also to assist with their historical record keeping, for example reviewing destination data for previous years.

Company representatives

As a company representative, you must provide the following information to use UTC Hub:

  • Personal data, including email address, gender and date of birth. This information is made visible to your organisation’s administrator and your contact details will be made visible to school staff when you consent to this. This enables school staff to contact you to request support for their students, for example attending a careers fair, offering mentoring or giving a careers talk.
  • Details of any help you are happy to offer schools, for example mentoring, attending careers fairs and giving a careers talk. This will be visible to your organisation’s administrator and also to all school staff that use the platform to enable them to
  • Information about your role, including job title, how long you have been in the role and answers to questions about the nature of the role, what you do day to day and how you go the job. This information will be visible to the administrator of your organisation and also to every student, alumnus and school staff member on UTC Hub, once your profile is approved by the administrator for your organisation. You can hide your profile at any time from your account, which will mean students, school staff and alumni cannot see it, but your organisation’s administrator will still be able to.
  • Skills. This is visible to all students and staff on UTC Hub and helps students to understand if their skills might be suitable to your role.

Where we collect the data

We collect data through a variety of methods, including in forms on UTC Hub, by corresponding with us by phone, e-mail or through live chat. This includes information you provide when you register to use our site, subscribe to our service, participate in discussion boards or other social media functions on our site, enter a competition, promotion or survey, and when you report a problem with our site.

Where we store your data

Your data is stored securely using our hosting provider, Amazon Web Services. Your data is never transferred outside of the EU.

How long we keep your data for

We keep your personal data for 6 years from the last time you logged in to UTC Hub. We retain this information so that you can easily access your account and in case you need to make a complaint. Non-personal data is stored indefinitely.

Your rights

We take your individual rights very seriously. Your rights, and how we uphold them, are explained below:

You have the right to be informed when we collect data

  • Comprehensive details of the data that we collect is included in this Policy and summaries are prominently displayed throughout UTC Hub.

You have the right of access to your data

  • The data UTC Hub collects to give you the best experience possible is yours. You have the right to request it whenever you want. Please submit a request to our DPO, Sam Hyams, by emailing dpo@utchub.com. Once a request is received, we will send you your data within 2 working days. There is no charge for this service.

You have the right to change any incorrect data

All personal data we process can be rectified if inaccurate or incomplete. This can be done by editing your data directly on UTC Hub or by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will complete within 5 working days from the request.

You have the right to be forgotten

You can request that all of your data is permanently deleted. This can be done by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will complete within 5 working days from the request.

You have the right to prevent UTC Hub processing your data

If a user wants to restrict us from processing your data, you can do this by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will complete within 5 working days. Once this is done, you will not be able to use your account as we will not be able to process your data. The data will be transferred to a secondary database in case you want to reactivate your account in the future and will be deleted permanently 6 years from your last login.

You have the right to move your data

If you want to move your data for any reason, you can request your data in a CSV format by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will complete within 5 working days.

You have the right to object to profiling

If you are a student, UTC Hub uses some of your personal and sensitive data, interests, qualifications and skills to suggest suitable opportunities and career paths and help employers target the most suitable students for their organisation. This is explained in a privacy notice which is shown at the first part of communication that details how data will be used for profiling. If you object at this point you will still be able to use UTC Hub but you will not see suggested opportunities and career paths. Employers will also not be able to target you. You can also object to profiling at any point by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will action within 5 working days.

You have the right to ask us not to use your personal data for marketing purposes

We will always inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise the right at any time by contacting the DPO, Sam Hyams, by emailing dpo@utchub.com who will action within 5 working days.

Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

We may receive information about you if you use any of the other websites we operate or the other services we provide. In this case we will have informed you when we collected that data that it may be shared internally and combined with data collected on this site. We are also working closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers) and may receive information about you from them.

Who else has access to your data

We utilise some third party companies to help us improve your experience of our website and platform and some of your data might be passed to these providers. These include:

  • Segment – We use Segment to provide a way of integrating our marketing, automation and analytics activities and ensure data integrity between all areas. Segment provides us with a single point for deleting a user’s data, ensuring swift reactions to data deletion or data processing desist requests.   • Google Analytics – We use Google Analytics to track users on our marketing website and once logged in to the platform. We capture the pages visited, duration of stay, user device and more. We use this information to optimise your experience of our site and identify any problems.
